QuickBooks Bank Reconciliation: A Process for Practices

QuickBooks Bank Reconciliation: A Process for Practices

QuickBooks bank reconciliation across a client portfolio works best as a fixed monthly routine: check every bank feed is live, match or categorise each transaction, clear duplicates, reconcile to the statement closing balance, and send one query list per client. A reviewer then signs off each reconciliation before the period is treated as closed.

Most QuickBooks guides are written for one business reconciling its own account. A practice is different: dozens of client files, feeds that break without warning, and clients who answer queries slowly. This process is built for that. It assumes QuickBooks Online and an accountant user on each client file, and keeps review and adjustments with your accountants.

Key points

  • Start each QuickBooks bank reconciliation cycle with a feed health check across all clients, before anyone categorises a transaction.
  • Match bank lines to existing invoices, bills and payments before adding anything new; adding instead of matching is a common cause of duplicates.
  • Use bank rules for repeat transactions, but review them each quarter.
  • Reconcile to the bank statement balance, not the feed balance.
  • Undoing a completed QuickBooks bank reconciliation needs an admin or accountant user (Intuit: undo a client’s reconciliation).
  • Keep statements and reconciliation reports for the record-keeping period: 6 years for companies (GOV.UK: company and accounting records).

Before you start: feeds and opening balances

A QuickBooks bank reconciliation is only as good as the starting point. Two checks come first, every month, for every client.

Feed health check

Open each client’s banking page and note the date of the last downloaded transaction for each account. Any account more than a few days behind the statement date has a feed problem. Record the result in a portfolio tracker so one person can see the state of every client at a glance.

Client Account Last feed date Feed status Statement received Last reconciled to
Client A Ltd Current account 30 Sep Live Yes 31 Aug
Client A Ltd Credit card 12 Sep Needs reconnecting No 31 Aug
Client B Business account 30 Sep Live Yes 30 Jun

Opening balance check

Confirm that the opening balance in QuickBooks for the period equals the closing balance on last month’s statement. If it does not, something already reconciled has been changed, deleted or added since. Fix that before starting the new month; otherwise every later reconciliation inherits the difference.

Matching, rules and duplicates

Within each QuickBooks bank reconciliation, work through the transactions waiting for review in a set order, so the same item is not handled twice by different people.

  1. Match first. Where QuickBooks suggests a match to an existing invoice payment, bill payment, transfer or journal, check the amount and date and accept it.
  2. Transfers. Record movements between the client’s own accounts as transfers, so they are not counted as income or expenses.
  3. Categorise what is left. Add the remaining lines with the right category, VAT code and, where relevant, customer or supplier.
  4. Exclude what should not be posted. Duplicates and personal items on a business account that the client will repay are handled by your firm’s policy, not left in the queue.

Bank rules

Rules save time on repeat items such as rent, software subscriptions and bank charges. They also spread errors quickly if set too broadly. Keep a list of rules per client, name each one clearly, prefer rules that suggest a category over rules that post automatically for anything unusual, and review the list each quarter or whenever a QuickBooks bank reconciliation turns up a miscoded item.

Duplicates

Duplicates usually come from three sources: a transaction added from the feed when it should have been matched to an existing entry, a feed being disconnected and reconnected so the same period downloads twice, and a manual statement upload overlapping a live feed. Before excluding anything, confirm the line is genuinely a duplicate by checking the bank statement. Excluding a real transaction creates a difference that is hard to trace later.

Dealing with feed outages

Feeds fail for ordinary reasons: the client’s bank needs them to reauthorise access, a card is replaced, or the bank changes its connection. The fix is usually for the client to reconnect, because the authorisation is in their name.

Symptom Likely cause Action
No new transactions for several days Bank access expired Ask client to reauthorise the connection
Card transactions stopped Replacement card or new account number Client connects the new account; map it to the existing ledger account
Same period downloaded twice Feed disconnected and reconnected Exclude confirmed duplicates; note the date range
Feed cannot be restored before month end Bank-side problem Upload a statement file for the gap; avoid overlapping dates

HMRC’s MTD guidance makes the same point about feeds: some transactions may not appear in full and need to be created separately, and it is the taxpayer’s responsibility to check the records are accurate (GOV.UK: create digital records). For MTD clients, a broken feed in the last week of a quarter can push work against the MTD quarterly deadlines, so check those clients first.

Clearing differences in a QuickBooks bank reconciliation

In the reconcile screen, enter the statement end date and closing balance from the bank statement itself. Tick off cleared items until the difference is nil. When it will not reach nil, work through these checks in order.

  • Is the opening balance right? An earlier reconciled item may have been edited.
  • Is there an item on the statement that is not in QuickBooks? Look for missed feed lines, especially around outages.
  • Is there an item in QuickBooks that is not on the statement? Usually a duplicate or a payment recorded on the wrong account.
  • Do any amounts differ? Compare totals of payments and deposits with the statement to narrow the search.
  • Is the difference a round number, or exactly double a transaction? Those often point to a reversed or duplicated item.

Do not post a balancing adjustment to force a nil difference. If a difference cannot be found, leave the reconciliation open, record what has been checked, and pass it to the reviewer.

Client query lists

Every unexplained transaction goes on one list per client per month. Sending queries one at a time, as they arise, guarantees slow replies and lost answers.

Date Account Amount Payee or reference Our question Client answer
04/09 Current £1,240.00 Online transfer What was this payment for? Please send an invoice if you have one.
18/09 Credit card £86.40 Retail purchase Business or personal?

Post unanswered items to a suspense category so the reconciliation can complete, and clear them when the client replies. Keep chasing to a set rhythm. If client queries are taking up senior staff time, our article on client inquiry support and billing admin looks at that workload.

Review and sign-off

A QuickBooks bank reconciliation is not finished until someone other than the preparer has checked it. A short, consistent review is enough for most clients.

  1. Statement closing balance agrees to QuickBooks at the reconciliation date.
  2. Reconciliation report saved, with no unexplained uncleared items older than a month.
  3. Suspense balance listed on the query list, with dates.
  4. New bank rules created this month checked.
  5. Excluded transactions checked against the statement.
  6. Tracker updated with “reconciled to” date and reviewer name.

Splitting the work across a team

With a large portfolio, split the QuickBooks bank reconciliation work by stage rather than by client. One person runs the feed health check for every client on the first working day, preparers clear the review queues and reconcile, and a reviewer signs off in batches. The tracker shows where each client sits. This also makes it easy to hand the preparation stage to an outsourced team working on logins your practice issues, while the review stays in-house. Agree a monthly cut-off date by which every QuickBooks bank reconciliation for the previous month should be ready for review.

If a closed QuickBooks bank reconciliation later needs reopening, an accountant user can undo it. Intuit notes that undoing deletes the reconciliation report and its attachments, so export it first. Keep the bank statements and reports for at least as long as the record-keeping rules require: 6 years from the end of the financial year for companies, and at least 5 years after the 31 January filing deadline for self-employed clients (GOV.UK: how long to keep records).

FAQs

How do you do a bank reconciliation in QuickBooks Online?

To complete a QuickBooks bank reconciliation, open the reconcile tool, choose the bank account, and enter the statement end date and closing balance from the bank statement. Tick each transaction that appears on the statement until the difference is nil, then finish and save the report. Clear the feed queue and confirm the opening balance before you start.

Why are my QuickBooks bank feeds not working?

Usually because the bank needs the account holder to reauthorise access, a card or account has been replaced, or the bank has changed its connection. The client normally has to reconnect because the authorisation is in their name. Until it is fixed, upload a statement file for the gap without overlapping dates already downloaded.

How do I fix duplicate transactions in QuickBooks?

First confirm against the bank statement that the line really is a duplicate. Common causes are adding a feed line that should have been matched, reconnecting a feed so a period downloads twice, and a statement upload overlapping the feed. Exclude genuine duplicates from the feed, or delete a duplicated entry already posted, then re-check the reconciliation.

Can you undo a reconciliation in QuickBooks Online?

Yes, but only certain users can undo a whole reconciliation: the primary admin, an in-house accountant, or an accountant user through QuickBooks Online Accountant. Undoing deletes the reconciliation report and its attachments, so export the report first and record why it was reopened.

How often should a practice run a QuickBooks bank reconciliation for each client?

Monthly suits most clients and fits VAT and MTD quarters. High-volume clients may need weekly matching with a monthly reconciliation. Quarterly is workable for very small clients, but it makes feed outages and client queries harder to resolve because the trail is older.
